THE POSITION
The purpose of this position is to provide a secretarial and support function to the Marketing Director.
THE RESPONSIBILITIES INCLUDE
- Maintain an excellent work ethic at all times.
- Manage and co-ordinate travel /accommodation arrangements/Car Hire - Marketing Director/ Purchasing Managers.
- Organising and management of Marketing Director's diary (set-up appointments with Suppliers, Retailers
Staff etc). Ensure electronic diary is in sync with manual dairy - Accurate compilation of presentations, reports, correspondence, etc using own initiatives and as directed by Marketing Director
- Through skilful, professional communication and interaction with Staff, Retailers and Suppliers.
- Offer up friendly quality service and always display a willingness to assist other departments when the opportunity arises.
- Be participative and proactive in the management of manning telephone calls.
- Control of stationery expenditure
- Administering the attendance register and leave schedules
- Organising and secretarial support for major marketing events, meetings, trade shows, etc.
- Registering of Circulars from Central Office
- Growth & Buying Office Commission- Control & follow up payments towards Growth & BOC.
- Compile monthly reports Actual vs Budget on income receive
THE PERSON MUST SATISFY THE FOLLOWING COMPETENCIES
- Matric Certificate
- Relevant Secretarial Qualification
- Minimum 5 years experience within a secretarial capacity
- Trustworthy, tolerance, flexibility and sensitivity
- Must have a working knowledge of Microsoft Office Suite
- Advanced Word processing and minute taking skills
- Sound interpersonal skills, high energy level and customer focus, attention to detail and highly organised
- Prepared to work after hours when required

- compile and prepare PowerPoint presentations, maintain and create Excel workbooks
- override debtors - recording accruals, balancing monthly, process journal adjustments and ensure necessary authorisation - Marketing Director
- complete and maintain comprehensive Supplier contact/mailing list
- administer the use of Rugby Tickets and ensure tickets are returned after use

- diary co-ordination and management
- Grocery Vouchers Management - Control supply and payment of Retail vouchers
- filing and general office administration
- maintaining budgetary and inventory controls
- the confirmation of meetings
- the typing and compiling of documents
